Operations administrator
Perm Position
Part-Time Hours (32 Hrs)

My client is a very successful IFA based on the outskirts of Chelmsford and they currently have an opportunity for a part-time Operations Administrator to join their small and very successful team with flexible part-time hours to suit.

Key responsibilities involve maintaining Intelliflo Back Office System, arranging client transactions and supporting responsibilities within in the Operations department. Full training will be provided and the opportunity for sponsored financial services relevant exams.

Responsibilities (Operations Administrator)

  • Intelliflo Back Office System
  • Ensure all data is captured and entered accurately
  • Adding and updating client details / policy information
  • Logging client phone calls
  • Creating template letters / generating letters
  • Adding client appointments
  • Migrating data from spreadsheets into Intelliflo
  • Client Servicing Spreadsheet
  • Adding and updating client details / policy information
  • Obtaining provider valuations
  • Quarterly Client Servicing Project
• Client Transactions
  • Creating Illustrations
  • Money Laundering checks and producing ML Certificates (MLC)
  • Produce Transaction Confirmation letters
  • Collate and populate relevant forms & paperwork
  • Adding transactions to Business Register spreadsheet
  • Dealing with associated Client queries
• Ad Hoc
  • Calling clients to book appointments / adding to diary
  • Other general administrative duties - eg writing letters / scanning etc

Key Skills Required for the Operations Administrator will include:

Essential Skills
The ideal candidate will take a pride in their work, with excellent eye for detail and the ability to work on own initiative and manage various tasks to ensure they are completed within the agreed timescales. Numerate, with clear written and spoken language skills and able to write client-facing material. The work involved requires an ability to concentrate and remain focused in order to ensure high levels of accuracy. Good working knowledge of all Microsoft systems is essential, in particular Excel and Word.

Desirable Skills
• Experience with Back Office Systems - particularly Intelliflo
• Experience within the Financial Services Industry
