Gap Personnel Group, operating as an employment business, are currently looking to recruit an office manager for one our well-established client based in Blackburn.
Purpose of the Job
The Office Manager provides administrative support for the school in a manner which allows the school to maintain its position as a school with a reputation for unrivalled excellence. The principal function of the role is to ensure a smooth and efficient running of the school offices whilst managing the all of its administrative functions. The office manager will be responsible for line managing and co-ordinating a team of three full time receptionists across the Prep and Senior School. The role demands flexibility and adaptation to changing/conflicting priorities and deadlines. The school office is the hub of the school and the wide range of enquiries and demands need to be met with to a high professional standard.
Responsibilities:
- Organising the School office and making sure it runs smoothly as a focal point for students, staff and parents.
- Proof reading all notices/letters via all communication channels.
- Responsible for the organisation of all electronic mail outs to parents and replies.
- Ensuring a high standard of service to all visitors, pupils, parents and staff.
- Ensure the School offices are staffed between 08:00-17:30 Monday to Friday (including term time).
- Manage the team to effectively deal with telephone calls, transferring callers in an appropriate manner to relevant staff and taking and passing on messages as required.
- Coordinating the delegation of admin tasks across the School office team.
- Ensure all members of the office team follow safeguarding procedures by issuing passes and lanyards to visitors, ensuring that visitors are signed into the school and checking DBS information for visitors.
- Responsible for the general email accounts for the reception team to respond to queries / directing enquiries as required and in a timely manner.
- Ensuring that the School database (SIMS) is accurate and up-to-date.
- Proofing and approval of items for the school Weekly and assisting with maintenance of the School website.
- Sending out invitations to parents and other wider stakeholders.
- Coordinating the Staff/Student weekly information notices.
- Setting the team objectives in conjunction with the Head of HR/Operations.
- Maintaining properly functioning systems of office administration necessary to support the smooth running of the School day.
- Reviewing current office systems and identifying improvements to achieve best practice and efficiencies.
- Ensuring full compliance with GDPR regulations in all aspects of the School office work and wider school where relevant.
- Mentoring the School office team as necessary.
- Completing appraisals for each member of the School office team in line with the School policy.
Be aware of and comply with all School policies and procedures particularly relating to child protection, equal opportunities, health and safety and security, confidentiality and data protection; reporting all concerns to an appropriate person.
Carry out all duties with regard to the School’s policies and codes of conduct.
Participate in training and other learning activities as required and to participate in appraisal and professional development.
Set high expectations of conduct, whilst acting as a good role model for others

Salary: £28,000 - £32,000 (dependent on experience)
Hours: 40 Hours per week
Working Weeks: Full Year
