Job description

We are looking for a motivated, organised, and compassionate Band 3 Medical Secretary to join a busy administrative team. This is an excellent opportunity for someone with strong administrative skills who is passionate about supporting patient care and contributing to high-quality NHS services.

As a key member of the department, you will provide vital administrative and secretarial support to clinical staff, ensuring smooth running of services and excellent communication with patients, colleagues, and external partners.


Main Responsibilities

  • Provide comprehensive secretarial and administrative support to consultants and clinical teams.
  • Manage clinics, appointments, and patient pathways using NHS systems such as EPR, PAS, and Dictation Software (e.g., Winscribe).
  • Type clinical letters, reports, and discharge summaries with accuracy and within agreed timescales.
  • Maintain accurate patient records and ensure confidentiality at all times.
  • Deal professionally with enquiries from patients, carers, and external healthcare providers.
  • Support the coordination of MDT meetings, clinical timetables, and departmental tasks.
  • Handle incoming/outgoing mail, email correspondence, and telephone calls promptly and efficiently.
  • Contribute to the wider admin team, offering flexibility and support during busy periods.

About You

We are looking for someone who is:

  • Highly organised with strong attention to detail.
  • Skilled in typing, formatting documents, and using Microsoft Office.
  • Confident in communicating with a range of people, often in sensitive situations.
  • Able to work independently and manage their own workload.
  • Experienced in administrative roles (NHS experience desirable but not essential).
  • Calm under pressure and adaptable in a fast-paced environment.
