JOB DESCRIPTION: WAREHOUSE Co-ordinator

Department: Operations & Logistics

Reports To: Operations Director

Salary: £30000 per annum

Hours of work: 9am – 5pm, Monday to Friday

________________________________________

1. POSITION PURPOSE

The Warehouse Co-ordinator is responsible for the end-to-end efficiency of the warehouse. This includes the strategic management of inventory, the seamless processing of incoming and returned goods, and the optimization of the fulfilment and courier dispatch process.

2. CORE RESPONSIBILITIES

Stock & Inventory Management

Accuracy: Maintain high inventory integrity through daily cycle counts and monthly reconciliations.

Levels: Monitor stock levels to prevent overstocking or stock-outs; trigger re-order points based on lead times.

Reporting: Produce weekly reports on stock movement, aging inventory, and shrinkage.

Receiving & Returns Management

Inbound: Oversee the unloading, inspection, and "put-away" of all supplier deliveries.

Returns (RMAs): Manage the receipt of returned stock. Categorize items as "return to shelf," "damaged," or "refurbished."

System Integration: Ensure all received and returned items are logged immediately in the company ERP/stock system.

Packaging & Order Fulfilment

Quality Control: Ensure all outgoing items are picked and packed according to company standards.

Consumables: Manage the inventory of all packaging materials to ensure zero downtime.

Logistics: Coordinate daily manifests and serve as the primary liaison for courier partners to ensure timely collections and resolve delivery issues.

3. OPERATIONAL SUPPORT & ACCOUNTABILITY

In addition to management duties, the Warehouse Manager is a "hands-on" role that supports the wider team in maintaining daily standards:

Workspace Maintenance: Proactively support the team in keeping all workspaces, walkways, and loading bays clear of obstructions and debris to ensure a safe and efficient environment.

Housekeeping: Lead by example in always maintaining tidy work surfaces and organized storage areas.

Communication (ACT): When handling telephone queries, ensure the ACT database is updated immediately with accurate notes. The Manager must then inform the relevant staff member or department of the update to ensure no request is missed.

Ownership & Growth: Demonstrate high personal accountability by "owning" mistakes. When errors occur, the Manager is expected to investigate the root cause, rectify the issue, and implement changes to strive for continuous improvement.

4. HEALTH, SAFETY, AND COMPLIANCE

Risk Assessment: Regularly review and update warehouse risk assessments to identify and mitigate potential hazards.

Manual Handling: Ensure all staff are trained in correct manual handling techniques and that equipment (e.g., trolleys, pallet jacks) is in safe working order.

Safety Signage: Maintain clear and visible safety signage and floor markings throughout the facility.

PPE: Ensure all team members and visitors are wearing appropriate Personal Protective Equipment (PPE) where required.

5. KEY PERFORMANCE INDICATORS (KPIs)

Inventory Accuracy: Maintain $>99\%$ physical-to-system accuracy.

Returns Processing: 48-hour turnaround for all returned stock.

Data Integrity: Accuracy and timeliness of notes entered into ACT.

Safety & Tidiness: Zero-incident rate and successful pass of weekly "clean-floor" inspections.
