Job Description – NHS Band 3 Medical Secretary
We are seeking a highly organised and motivated Medical Secretary (Band 3) to provide comprehensive administrative and secretarial support to clinical teams within the NHS in Lincolnshire. This role is essential in helping deliver high‑quality patient care by ensuring accurate documentation, smooth communication, and efficient coordination of patient pathways.
You may be based at Grantham Hospital, Boston Pilgrim Hospital, or Lincoln County Hospital, depending on service needs.
Key Responsibilities
Administrative & Secretarial Support
- Provide professional secretarial support to consultants, clinicians and multidisciplinary teams.
- Manage diaries, schedule appointments, and organise clinical meetings.
- Prepare, type and distribute clinical correspondence using digital dictation systems (e.g., Winscribe).
- Maintain and update patient records accurately following NHS information governance standards.
Patient Pathway Administration
- Coordinate referrals, follow‑up appointments, diagnostic bookings and waiting lists.
- Ensure timely processing of letters, results and clinical documentation to support patient flow.
- Liaise with patients, carers and external services, ensuring queries are handled sensitively and efficiently.
Communication & Teamwork
- Act as a key point of contact for patients, relatives, clinical colleagues and external agencies.
- Communicate clearly and professionally via phone, email and face‑to‑face interactions.
- Support clinical teams with day‑to‑day administrative tasks, contributing to smooth department operations.
Data, Systems & Record Keeping
- Use NHS systems such as Rio, Medway, Lorenzo, or relevant local EPR platforms.
- Ensure compliance with GDPR, confidentiality policies and NHS Trust protocols.
- Extract, input and validate data to support audits, reporting and clinical administration.
Essential Requirements
- Previous experience in a medical secretary, administrative or healthcare administration role.
- Strong typing skills and experience with audio/digital dictation.
- Excellent organisational skills with the ability to prioritise workload.
- Confident communication skills and a compassionate, patient‑focused approach.
- Proficient in Microsoft Office (Word, Outlook, Excel).
Desirable
- AMSPAR qualification or equivalent.
- Experience working within the NHS or similar healthcare environment.
- Knowledge of medical terminology.
