Job description

We are looking for a customer-focused individual to join our clients out-of-hours team as a Switchboard Operator / Reception & Facilities Assistant. This is a varied role requiring excellent communication skills, the ability to respond quickly in emergency situations, and confidence working independently during quiet hours.

This is temporary to the end of March initially but has the potential to be extended. 

Key Responsibilities

  • Ensure the switchboard is fully manned at all times, answering calls promptly, politely, and directing them to the appropriate departments or personnel.
  • Respond immediately to emergency phone calls and contact the correct emergency response team. Accurately record each call and action taken on the appropriate documentation.
  • Provide a courteous reception service to all visitors and enquirers outside normal office hours.
  • Take payments for parking, accommodation, and prescription charges (cash or card via Chip & Pin), and accurately record all payments and refunds.
  • Manage calls from the car parking assistance system, using initiative to resolve issues and escalating to the appropriate personnel where required.
  • Issue keys to authorised personnel, ensuring ID checks are carried out and all key movements are accurately logged on the key database.
  • Work independently and confidently during out-of-hours periods, following lone-working procedures.

Your hours will be on a 2 week rota as follows: 

Week 1
Wednesday - 15:00 - 22:00

Thursday - 15:00-22:00
Friday - 15:30 - 22:30
Saturday- 15:30 - 22:30

Week 2
Wednesday - 15:00 - 22:00

Friday - 15:30 - 22:30
Saturday - 15:30 - 22:30
Sunday - 15:30-22:30

Your pay is based on the following:

£12.21 per hour for hours between 6am-8pm

£17.22 per hour for hours between 8pm-6am and Saturdays

£22.34 per hour for Sunday's and bank holidays. 

We are looking for someone who:

  • Has excellent communication and customer service skills
  • Can remain calm and professional under pressure
  • Is confident following emergency procedures
  • Has strong attention to detail and accurate record-keeping skills
  • Is comfortable working alone during out-of-hours shifts
  • Is reliable, punctual, and committed to high standards of service

Experience in a switchboard, reception, security, or facilities role is desirable but not essential, as full training will be provided.
